How I stopped wasting hours on booking clients (and you can too)

You know when a client messages you to book a session, and before you even reply, they send another message?

“Are you free Thursday?”

“Actually, maybe Wednesday works better.”

“Oh wait, I forgot about something—can we do next week instead?”

By the time you’ve checked your calendar, they’ve either gone quiet or – worse – booked with someone else.

I used to waste so much time sorting out bookings for my coaching sessions, workshops, and networking events. And when someone cancelled last-minute or forgot entirely, I had no easy way for them to rebook.

The worst part? I was only getting bookings when I was online, checking my messages.

The moment I set up an automated booking system, everything changed. Clients could book when they were thinking about it—not just when I was available to answer.

How I set up booking so it runs itself

I use TidyCal for my group events (networking, training sessions, webinars, workshops) and Calendly for one-to-one business coaching.

I’ve heard good things about Acuity and a few others, but these are the two I’ve tested personally, and they just work.

TidyCal – my go-to for group events

I love TidyCal for group sessions because:

  • It’s a one-time payment—no ongoing monthly fees.
  • It makes group bookings easy. Clients book into a set timetable without needing my help.
  • It’s perfect for yoga and Pilates teachers, trainers, and anyone running classes.

If you run the same sessions every week, this is the easiest, cheapest way to let people book themselves in without needing you to do anything.

Calendly – best for one-to-one coaching, consulting, and strategy calls

I use Calendly for business coaching because:

  • It syncs with Zoom and Google Calendar, so there’s no double-booking.
  • I can offer different types of sessions—free discovery calls, paid coaching, deep-dive strategy sessions.
  • It’s a more polished experience—perfect for clients who expect a seamless booking process.

If you do one-to-one coaching, therapy, or consulting, Calendly is 100% worth it—it just works better for private bookings.

The biggest win? Clients can reschedule themselves

A big issue I had before setting this up was cancellations.

I’d block out time for a session, only for someone to cancel at the last minute—leaving me with a wasted gap I couldn’t fill.

Now:

  • Clients get an automatic reminder before their session.
  • If they need to reschedule, they do it themselves—no back-and-forth.
  • If they cancel too late, they lose the session—because my cancellation policy is built into the system.

Since automating, I’ve had far fewer no-shows.

How to set this up in 30 minutes

  1. Pick your tool—TidyCal for group sessions, Calendly for one-to-one.
  2. Sync it with your calendar (Google Calendar or Outlook).
  3. Set your availability (choose when clients can book).
  4. Add buffer time (so you’re not running back-to-back with no break).
  5. Enable reminders (clients get automatic emails before their session).
  6. Set your cancellation policy (so people know the rules upfront).
  7. Share your booking link—on your website, in emails, and even in WhatsApp messages.

After that? Clients handle their own bookings, and I don’t waste my time on admin.
